OBTAINING A TEAM NUMBER REVISION DATE 1/25/2018
Hosting a team out of Willow Creek Tennis Club (WCTC) in Willow Creek (WC) is considered a privilege by the HOA boards because teams are given priority over residents to use courts during assigned matches.
In order to play out of Willow Creek, each team must obtain a team number.
To obtain a team number each team:
- must assign a Team Sponsor (TS) who resides in Willow Creek (HOAs 1, 2 or 3) and is in good standing with their respective HOA. The TS is not required to be the team captain but is the person to whom all correspondence will be sent.
COURT ASSIGNMENTS: ALL TEAMS MUST PLAY ONLY ON COURTS ASSIGNED BY THE COURT SCHEDULER. FAILURE TO DO SO WILL RESULT IN EACH TEAM PLAYER NOT BEING ABLE TO PLAY ON A LEAGUE TEAM ON WC COURTS FOR THE REMAINDER OF THE CURRENT YEAR, FOR ANY TEAM THAT HAS NOT ALREADY BEEN SCHEDULED, AND FOR THE FOLLOWING YEAR ON ANY LEAGUE TEAM.
The Quebec courts (alternate surface) in WC1 are included in the scheduling rotation of courts. Any team may be assigned these courts as part of their schedule.
A team may not be assigned all courts required for a 6pm match. Teams will be assigned additional courts required at 4pm and will need to coordinate with the visiting team.
Team Numbers will be assigned per the rules on page 2.
To receive a team number the TS will do the following:
1. Fill in the application form completely listing ALL WC RESIDENTS AND NON RESIDENTS ON HIS OR HER TEAM and including the NTRP level and the specific league applying for. Team applications must be completed by the following dates:
February 11 : Trio, USTA Mixed 18&Over, USTA Adult 18&Over, USTA Adult 55&Over, CTA Women’s Daytime Doubles
April 8 : USTA Mixed 40&Over, CTA Adult 18-39, USTA Adult 40&Over, CTA Women’s 2.5 18&Over
May 14 : ITA Mixed Doubles, CTA Adult 65&Over, CTA Women’s Summer Daytime, CTA Twilight
Make check out to WILLOW CREEK TENNIS CLUB for the correct amount (see below) depending on the type of team applying for.
Cost is based on maximum number of courts required for one match:
5 WC courts = $300
3 WC courts = $180

The TS will be notified within TWO DAYS after the application deadline if your team has been given a team number. If a team number is not given, the check will be destroyed and the FC will email the TS.
There may be no more than two (2) five line teams at a given level. Priority will be given to teams with the most WC residents. WC residents from a team that is denied a team number must be accepted by the team with the next least residents if the denied residents
wish to play out of WC.
All teams must meet the following criteria for residents on their team. For an EXISTING team that has played out of WC in the past, an exception will be made if the team captain/sponsor has made an attempt to invite residents through both Nextdoor and the WC
Five line teams must have 3 residents
Three line teams must have 2 residents
The WCTC reserves the right to deny applicant teams a team number if insufficient courts are available. For applications received by the due date, teams with the most WC residents will always be given priority.
At least one member of EACH team is required to fulfill a volunteer requirement in the WCTC.
Possible volunteer jobs include:
Hosting WC tennis socials
WC Tournament volunteers
Bulletin board maintenance
Writing WC tennis articles for HOA newsletters, Boards, and Nextdoor
The captain of each team must attend a mandatory team meeting at the beginning of the season. If the captain cannot attend, at least one member of the team must attend. The date of this meeting will be emailed with the team number.
A refund may be requested according to the following table after the season ends and before
October 1st. The TS must email the FC with the following information: team number, level, league,
ALL team members noting WC members and nonresidents. The FC will then request a check from
the Community Manager.
